What Is a Tour Manager?
A tour manager (TM) is the operational backbone of any live tour. While the artist focuses on performing, the TM handles everything else: logistics, finances, vendor coordination, crisis management, and keeping the show on schedule.
The TM is typically:
- The first person up in the morning and the last to sleep at night
- The point of contact for every venue, promoter, hotel, and driver on the road
- The person who collects payment from promoters and settles crew wages
- The one who solves problems before the artist knows there is a problem
Core Responsibilities of a Tour Manager
PRE-TOUR (Planning Phase)
- Build and distribute the tour itinerary (flights, trains, hotels, venue addresses, contact numbers)
- Collect advance payments from promoters
- Confirm all technical requirements have been sent to venues (stage plot, input list, tech rider)
- Book accommodation, transport, and any equipment rentals
- Compile the tour reference notes document
- Ensure all contracts are signed before departure
- Collect crew PAN numbers and set up payment methods (UPI accounts)
- Organise visa and travel documents for any international band or crew members
DURING TOUR (Show Days)
- Lead load-in and coordinate with venue technical staff
- Ensure soundcheck runs to schedule
- Manage the run sheet (keep everyone on time)
- Collect balance fees from promoters before the show ends
- Oversee merch table operations and end-of-night settlement
- Manage the tour cash float and daily expenses
- Handle any crew or artist disputes or issues discreetly
- Liaise with media if any press visits are scheduled
Post-show / Post-tour
- Finalise tour accounts (reconcile income vs. expenses)
- Collect any outstanding balances or TDS certificates
- Prepare show reports for management
- Submit all receipts for accounting
- Brief artist manager on any noteworthy incidents or relationship notes
How Tour Management Works in India
India's tour management industry is small but growing. Most working TMs come from one of three backgrounds: 1. Former artists or musicians who shifted to management 2. Event production staff who specialised in artist logistics 3. Self-taught independent managers who built skills by doing
Unlike Western markets, there is no formal TM certification or standard industry body in India. The field is entirely relationship-based.
For independent artists on tighter budgets, it is common for one person to wear multiple hats — for example, an artist manager who also serves as TM for the tour, or a senior crew member who takes on TM duties.
TOUR MANAGER FEES IN INDIA (2026 Benchmarks)
Day rate (for single shows or short tours): INR 3,000–8,000 per day Weekly rate (extended tours): INR 25,000–60,000 per week Monthly retainer (long-running or complex tours): INR 60,000–1,50,000+ per month
Factors affecting rate:
- Artist profile (bigger artist = higher TM fee)
- Number of shows and cities
- International travel involved
- Whether TM brings their own tools / contacts
- Whether TM is also handling other roles (e.g., also serving as stage manager)
On top of day rate: TM typically receives hotel accommodation and travel costs covered, plus a meal per diem of INR 500–1,500 per day.
TDS NOTE: If you pay a TM more than INR 30,000 per engagement (or INR 1 lakh annually), TDS at 1% (individuals) must be deducted under Section 194C. Collect their PAN number before engagement begins.
How to Find a Tour Manager in India
1. Ask other artists who they use. The best TMs in India are usually found through word-of-mouth in artist circles.
2. Reach out in music industry communities:
- Indie music Facebook groups (e.g., Indian Indie Music Network)
- LinkedIn search: "tour manager India" or "artist manager live touring"
- Instagram: Many TMs in India are visible through artist posts and festival credits
3. Contact production companies: Event production companies in Mumbai, Delhi, and Bengaluru often have TMs on their rosters who take freelance gigs during gaps between major events.
4. Look at festival credits: OML, Vh1 Supersonic, and NH7 Weekender credits often reveal production coordinators and TMs who work in the indie circuit.
Working with a Tour Manager: Do's and Don'ts
Do
- Give your TM full authority to make operational decisions on the road without approval for every small item
- Trust them with the cash float and payment collection
- Brief them fully before the tour on artist preferences, sensitivities, and any non-negotiables
- Give them access to all booking contracts, hotel reservations, and contact lists before departure
- Debrief with them after each show — their observations are operationally invaluable
Don't
- Undermine the TM's authority with crew or venues — this creates confusion and costs time
- Expect the TM to also serve as a creative director or marketing strategist; that is not their role
- Change plans last-minute without looping in the TM
- Delay sharing important logistical updates (a venue change, a new support act)
- Pay late — TMs are service providers; respect their payment terms
When Can you Tour Without a Tm?
Early-career artists with 3–4 members often self-manage tours in their home region. This works when:
- All shows are in the same city or 2–3 cities within driving distance
- The artist or band manager is experienced enough to handle logistics
- The crew is small (1–2 people)
- Advance payments and all logistics are already confirmed in writing
The moment a tour crosses 4+ cities, involves multiple flights or trains, has 5+ crew, or involves any international element — a dedicated TM becomes essential, not optional.
Checklist: What to Give your Tour Manager Before Departure
- Full tour itinerary (city, venue, date, load-in time, set time, curfew)
- All signed contracts and deal memos
- Contact details for every promoter, venue booker, and hotel
- Tour budget and approved expense limits
- Cash float (or access to tour account / UPI)
- All technical documents (stage plots, input lists, riders) confirmed sent
- Accommodation booking confirmations
- Transport bookings (flights/trains/vehicle hire)
- PAN details of all crew (for TDS compliance)
- Emergency contact list for all touring personnel
- Medical notes for anyone with health conditions
